2017-2018 Pitt Project Potter E-board Positions Application

All executive board (e-board) members are expected to attend weekly e-board meetings as well as support their fellow e-board members in any way that is needed.
The responsibility and duties of each individual position:
Co-Presidents
The co-presidents’ duties will include aiding and supervising the business manager, activities liaison, community outreach chair, membership chair and secretary by helping them fulfill their duties. The co-presidents are responsible for overseeing all of the operations of the organization. The co-presidents will work together with officers of the executive board to ensure the organization fulfills its purpose.
Community Outreach Liaison
The Community Outreach Liaison is responsible for all club wide service initiatives. This includes having service projects for each biweekly meeting, engaging members in University-wide days of service, such as PMADD, and designing service events specifically for members, such as No Shoes Service. In addition, the Community Outreach Liaison is responsible for applying for any grants to fund service and ensuring that each stipulation of the grant is met, including follow up interviews with participants if needed. As Community Outreach Liaison, you will also maintain the club’s website.
Business Manager
The Business Manager manages all financial transactions for the organization and non-profit organization. He/she calculates the organization’s budget, and determines whether expenses are within the means of this budget while consulting the board. He/she completes all Allocations financial requests and presents at Allocations Hearings. He/she manages the organization’s cash box, and briefs the board with updates to the Financial Spreadsheet following every expenditure. He/she reimburses board members promptly, and organizes one or two business fundraisers per semester. coordinates closely with SORC for all deposits and reimbursements, administering finances for both the organization’s budget and the non-profit’s donations.
Secretary
The Secretary maintains contact between the board and Project Potter members.The secretary is in charge of checking emails and updating the rest of the board on any emails that are important to running the club. All general body emails, reminders and meeting minutes are written and sent out by the secretary. The Secretary works closely with the Membership Chair during Sorting at the beginning of every semester to keep track of sorted members. Whenever there are new members joining the club it is the duty of the secretary to make sure they are added to the Owl Mail List, this is key during the beginning of the Fall semester. During the weekly E-board meetings, the secretary takes notes of all that is said and saves it in the Google Drive.
Activities Liaison
The Activities Liaison is responsible for creating events that help promote unity as a club. He/she also holds responsibility for coordinating logistics for events as proposed by the entirety of the executive board, including organizing social events, venue reservation, advertising efforts (i.e. flyer design, event promotions), facilitating collaborations with other organizations, and finding resources for events.
Membership Chair
The Membership Chair is responsible for working with the Secretary to input sorted members into their respective houses during Sorting at the beginning of every semester. Throughout the semester, they are responsible for ensuring that points are being updated by house liaisons every week and contacting members every week when they reach a new house year (level) based on their points. They must organize the prizes that are given to members when they reach a certain house year (level) and ensure that the members receive these prizes in a timely manner. They will update the organization of the current house point standings at every general body meeting. They must contact members that have yet to be sorted on a regular basis and sort/input new members as needed.
